What and Why:
We're extending the ability to customize recording and transcription notifications—previously available only in meetings—to 1:1 calls in Microsoft Teams. This update helps organizations maintain consistent consent messaging and align with internal privacy policies and regional compliance requirements across all communication scenarios. By leveraging existing policy configurations, admins can ensure a unified, enterprise-ready experience without additional setup.

Rollout Schedule:
- Targeted Release (Worldwide): We will begin rolling out in early August 2026 and expect to complete by early August 2026.
- General Availability (Worldwide, GCC): We will begin rolling out in mid-August 2026 and expect to complete by mid-August 2026.

What will happen:
- Custom recording and transcription notification messages configured for meetings will automatically apply to 1:1 calls.
- Notifications appear as banners (implicit consent) or dialogs (explicit consent) depending on policy configuration.
- The initiator’s meeting policy determines the notification shown.
- Default messaging is used if no custom string exists for a language or scenario.
- No policy changes are required.
- Available to all enterprise Microsoft Teams customers.
- No new admin controls are introduced.
Action Required/Recommendations:
No action is required if you already use customized recording and transcription notifications—your existing configuration will automatically extend to 1:1 calls.
If you want to enable or configure custom notifications:
- Go to Teams admin center → Meetings → Meeting policies
- Under Recording & transcription, enable "Show customized in-meeting notification for recording and transcription"
- Select Customize notification
- Download the CSV template
- Add custom messages (max 200 characters per string; use <empty> to retain defaults)
- Upload the CSV, preview, and apply
- (Optional) Enable explicit consent if required by your compliance policy
